ADMINISTRATIVE COORDINATOR/RESEARCH ANALYST


Under the general supervision of the Director of Planning & Development, the Administrative Coordinator/Research Analyst will perform a range of office and administrative support functions within the Planning Department.  Specific duties include, but are not limited to, business outreach, research, general correspondence and technical report writing.  Requires knowledge of Microsoft Office Suite.  Must have excellent organization, verbal and written communication skills.  A high school diploma or a GED equivalent, is required; college experience preferred.  Knowledge of the organization, operation and services of the City and of outside agencies as necessary to assume assigned responsibilities.  Must be able to type at a minimum rate of thirty-five (35) words per minute as determined through a test administered by the RI Department of Labor & Training or similar test, is required.

JOB TITLE:                             Administrative Coordinator/Research Analyst

POSITION SUMMARY:  Under general supervision of the Director of Planning and Development, and the Director of Economic Development.  The Administrative Coordinator/Research Analyst performs a wide variety of responsible and difficult clerical, secretarial and research duties; makes outreach calls as directed to existing and prospective businesses; performs activities of a general and specialized nature in support of the assigned department, division, or  program area; performs a range of office and administrative support functions; and prepares and edits a wide range of documents and reports ranging from general correspondence to technical reports, and does related work as required.

 

DUTIES & RESPONSIBILITIES:

  • Performs a variety of administrative and responsible and difficult secretarial and clerical duties in support of assigned management and supervisory staff.
  • Performs independent studies and research on a broad range of economic and business topics and issues.
  • Makes calls independently to prospective and existing businesses.
  • Receives and directs questions from businesses to appropriate City departments for information.
  • Maintains calendar of activities, meetings, and various events for assigned staff; coordinate activities and meetings with other City departments, the public, and outside agencies; coordinate and arrange special events as assigned.
  • Coordinates, make, process, and confirm staff traveling arrangements; arrange for transportations and accommodations for travelers; checks and processes expense claims.
  • Maintains accurate and up-to-date office files, records, and logs for assigned areas; develop, prepare, and monitor various logs, accounts, and files for current and accurate information including manual and computer logs of documents processed.
  • Compiles, prepare, and enter data into a computer from various sources including accounting, statistical, and related documents; create and maintain computer based tracking information and reports including assigned databases, records, and lists; create standard statistical spreadsheets; input corrections and updates; verify data for accuracy and completeness.
  • Assists in assembling and preparing the annual budget for area of assignment; monitor expenditures against budget; prepare purchase requisitions and requests for payment.
  • Takes photographs and assists in the preparation of visual displays.
  • Monitors inventories of supplies and materials; prepares purchase requisitions and requests for payment.
  • Serve as liaison between assigned office and the general public, City staff, and outside groups and agencies.
  • Explain programs, policies, and activities related to specific program area of assignment.
  • Handles all telephone callers; calendar appointments; respond to complaints and requests for information relating to assigned responsibilities.
  • Operates a variety of office equipment including a computer, typewriter, switchboard, copier, facsimile machine, and adding machine; utilize various computer applications and software packages.
  • Participates with special projects as assigned; assist in planning, coordinating and implementing assigned programs and events; assist in monitoring assigned programs.
  • Participates in the collection, compilation, and analysis of information from various sources on a variety of specialized topics related to assigned programs.
  • Prepares, process, and maintain time sheets, payroll records, and personnel records for assigned area.
  • May take and prepare meeting minutes as necessary.
  • Performs other duties as required.


QUALIFICATIONS:  A high school diploma or a GED equivalent, is required.  College experience preferred.  Must be knowledgeable of Microsoft Word and Excel programs, as well as other software that may apply to this position.  Must be well spoken and have excellent written communication skills.  Must be able to type at the minimum rate of forty (40) words per minute as determined through a test administered by the RI Department of Labor & Training, or similar typing test, is required.


KNOWLEDGE, SKILLS, AND PERSONAL QUALITIES:  Thorough knowledge of office practices and general knowledge of the organization and general operations of city government.  Ability to type accurately and rapidly.  Ability to operate simple office machines, ability to deal effectively with people and handle difficult office situations with good judgment and tact, neatness and initiative.
